#SQBehindTheScenes – The Travel Team

Throughout the season, our Road Warriors travel to over 60 cities in order to deliver excellent experiences to our dance family. Let’s check in with Erica and the team who makes it all happen, the Travel Team!
What does the travel team do?
We research and book all of the travel for our Road Warriors and Judges. We ensure everyone’s comfort so they can put on a stellar show!
What is the timeline of a week on the Travel Team?
I start my travel booking process when I receive the travel sheet. The travel sheet basically lists where everyone is going and the city they are traveling from. My first task is to reach out to the Judges and confirm where they are traveling in and out of. I also ask them when they prefer to arrive and depart for the competition. Some of our Judges prefer to arrive a day early so they can rest up before the competition, whereas some Judges have busy schedules and can only arrive the day of the competition.
After I hear back from the Judges, I spend a lot of time researching flights, trains, buses, and rental cars to see where we can get the best rate and get our Judges and Road Warriors where they need to be at the right times. I then send all of my research to Lyssa, our Executive Production Assistant. Once she confirms the travel options I have chosen, I then book them. After I’m done booking everything, I send each Judge and Road Warrior their itinerary. I also prepare the travel log so they have everything they need for stress-free travel!
What do you love about working for StarQuest?
I love that there is always room to grow and learn! Everyone at StarQuest listens and wants input from the different departments to continue making StarQuest better and better! I feel freedom to do my job as well as feeling encouraged to do my best and continuing growing.
Why is your position so important to the competition season?
Traveling is a huge part of our road staff’s lives during the season. It is important to constantly consider their well-being and ensure their travel is as smooth as possible so their focus is on the event. We want the kids to have the best experience as possible at our competitions!
How does your job affect a dancer’s experience on-site at one of our competitions?
Our goal is to make sure the staff do not need to think about their travel, at all, so they can focus on the dancers and give them a good show. If we slip up, the Road Warriors won’t be at 100%.
Our department loves puzzles and being super detailed oriented! Meaning, we have to make sure everyone arrives/leaves at times that match up with everyone else’s, and we cannot get info wrong. Do you ever go to the airport and your name is wrong on the ticket?? Not fun for anyone. We also have to work FAST! We start researching and booking travel about 2-3 weeks before a competition, and things are ever changing.
What do you wish the dancers and studios knew about the Travel Team?
I wish dancers and studios knew how much we care about THEM! We are looking for the best flights, rental cars, and hotels for our staff to make sure they are well taken care of and ready to serve the all peeps at the competition!
What is your favorite song to dance to?
“Crazy In Love” by Beyonce!
